Mailing Heads Up….
I use 6x9 envelopes (with brads to close the envelope - you know those little metal legs that go through the circular hole to hold the envelope closed) for most of my catalog and hostess packets that I mail. I usually buy my envelopes at Staples and haven't been too picky on my envelopes. I always pick up the cheapest envelopes that are 6x9. I prefer the "manilla" over the "white" as I don't want them to be see through.


When the new pricing started at the post office, I started to notice that the exact same piece, mailed the exact same way - same inserts (weighs identical), same envelopes, was costing different amounts depending on the post office I visited as well as the clerk that helped me. Here is one thing that I found out, that I think is extremely useful….


DON'T buy the envelopes with the brads!
That darn "brad" will add 17 cents to each mailing. The "brad" voids the mail piece from going through the mail sorting machine, thus it has to be handled differently. I bought 100 of the brad envelopes for $6.89 at the local office supply. The envelopes without the brads were a little over $10. Well that darn brad actually takes those 100 envelopes to a whopping $23.89. I would be saving $17 in postage buy actually buying the more expensive envelopes.


Even if your postal clerk isn't charging you for the extra 17 cents when you are dropping off the mail, the mail recipient may actually be requested to pay the 17 cents to get their mail piece. Definitely not the message I want to send to a prospective customer/hostess.


The mail person I spoke to today was super nice. She said that many postal employees previously weren't turning over the envelope to see the closure and were not charging that 17 cents. Well, the amount of money that the postal system was losing because of this was astronomical - this is one of the many reasons that we are seeing the postal prices increase because they have to make up for the shortfalls of previous years. (don't know how true this is, but thought I would pass it along) She also said that just because the item is smaller, doesn't mean that you should put it in a smaller package.


She relayed a story about a customer who was shipping something the size of baseball cards, a package of about 50 or so - so it was about 2 inches high. The sender wrapped an old brown bag around the cards and used that as the "mailing label". Because of the dimensions of the package, it was actually more expense to mail it this way than in a larger padded envelope. So another thing to think about when mailing smaller packages, if possible ask at the post office the best way to mail the product so you can save as much money as possible.

Launch a Print Mailout


Early on in my marketing campaign, I recognised the need to send out my postcards in an envelope, which would give them added protection against the elements and handling to which they'd be exposed before finally reaching the recipients. Normally in this situation, companies - even large ones with massive mailouts - rely on labels. Here's how I did it for my business' campaign and saved time, money and effort.


Using Microsoft Word's mail merge Wizard for envelopes (select Tools - Letters and Mailings... - Mail Merge Wizard then select Envelopes) I used the Business Contact records that had been previously entered into Business Contact Manager for Outlook 2003 as the source file for each of the recipient's mailing details. The steps in creating the envelope mail merge are very similar to those described in Stage 3 of the Building a Database article. By adopting this approach to our envelopes we benefited by:


1. Using relatively inexpensive plain envelopes.

Once the envelopes had been fed through and printed on the front, I set up a small envelope-sized template for the envelope reverse-side. This only included a small company logo, tagline underneath and a return address. Everything, from starting the mail merge through to printing the last envelope (both sides) took 15 minutes.

    Custom Design for Pocket Folders


    I was looking for possible pocket folders for my brochures just the other day and I wasn’t able to find one, unfortunately. Some of the paper shops that I went to have wonderful custom paper items, though. However, the problem is that I’m looking for envelopes that I could use as pocket folders but not so much that they look like any ordinary envelope in the market. For my folder printing project, I needed something more on the side of creativity and wide imagination; and a little something of Betty Crocker.


    I was browsing through the Internet (where else!) when I chanced upon a very interesting article on creating your very own personalized envelopes. And mind you, the result is one-of-a-kind because it all depends on how you want your results to be.


    I tried it and I was amazed at how my custom envelopes turned out. I now have envelopes that double as pocket folders for my brochures. My personalized folder printing project was an instant success thanks to this site.


    I’d now like to share with you the step-by-step process of creating your very own custom and personalized envelopes direct from the article that I found. Remember though, this is a hands-on art craft. According to the author, no skills or talent needed, just a desire to make something out of the ordinary. So make yourself something useful with this envelope project.


    It all starts with the envelope pattern. In order to make this, you need an envelope to take apart. A standard sized envelope will make a good pattern for now. When you get the hang of things, you can experiment with other sizes for your custom envelope.


    Carefully now, get your envelope to unfold from their glued edges. Flatten it and then trace its shape onto a paper liner, in the author’s case, he used an eighth-inch acrylic.


    After you’ve accurately traced the envelope onto your paper liner, next thing you do is to cut the shape out. Make sure to shape the paper liner right and create straight edges for your envelope. The most difficult thing to do is to smooth out the rounded edges and angles. I had a slow time of turning out this part of the process. Nevertheless, after I was able to do it, the round corners looked professional and done by an expert.


    Finally, after peeling off the liners, you now have an envelope that is shaped in your paper choice. All you have to do is glue the edges to make it look like the shape of an ordinary envelope.


    I did mine in plastic. Now I have clear plastic envelopes (in different colors, too) that double as pocket folders for my brochures and other print materials.


    I hope this beats any other handcrafted project of yours. The next time you need an envelope, just remember to go back to the basics and get your hands dirty. Create your very own personalized envelope. Who knows, maybe next time you’ll be able to turn this thing into a lucrative business.
